Vamosa Upgrade

The new version of our software platform is a lot more than a simple content migration tool. During 2023, Vamosa has embarked on a revolutionary journey, as our in-house developed software platform has undergone its first major upgrade in over a decade. This has set a new standard for large or complex data migrations while also providing a great many other benefits for customers.

The Background

In the past, we have tended to focus mainly on content migration, and typically this results in relatively short, one-off engagements with customers. So, we have worked with very large organisations such as Cisco, IBM, Bosch, AXA, ABN Amro, BP, Shell, AstraZeneca etc., and have had repeat migration work in many cases. However,  we tend to engage with these companies only during the short timeline of a migration project. At the end of the project, we remove our software and move on. The transient nature of this type of work can sometimes cause challenges in pipeline management and planning. The now focus is to try and grow that customer relationship through the provision of other services following on from a migration project.

The Benefits

What are the benefits of data migration? The new software platform will be deployable in the cloud, focused on leveraging the power, flexibility and functionality available in those platforms. There are a large number of benefits to customers from this approach. The main one is the ease with which cloud servers can be provisioned and scaled. This removes one of the current constraints, which requires customers to provide a number of servers for our use in advance of migration. Presently, this is expensive and time consuming. Other benefits include a dynamic reporting dashboard which will be available to customers through a web interface. This will provide information on current status along with various reports and statistics. Again, this makes things easier for the customer and makes them feel part of the process, by facilitating access to key information on-demand. Embedded AI can now be part of the migration (or post-migration) solution, bringing intelligent classification of documents.  In addition, there is the ability to scan for potential policy or governance violations.

Critical Requirements

Performance and stability are always critical in migration projects and the cloud platform provides this. Another advantage is the ability to remove the complexities involved in manually managing and coordinating activities between multiple servers. Shared message queues ensure all work is distributed evenly across the available cloud servers when prerequisites are met and with no risk of conflict between processes. Parameters can be set during the project configuration to define the maximum and minimum number of servers. In addition, processing will scale between these parameters depending on the current load. With the new platform it is easy to scale to the limits of the source and target platforms.

From a user perspective, things also improve when configuration and execution happen through a flexible web interface, as opposed to the complex application interface which could only be used by our own trained consultants. 


One of our key goals is to deliver something our customers can benefit from outside of the typical migration scenarios that we deal with. This is much easier with a cloud platform. Currently, customers provision virtual servers specifically for a migration project, and on completion these servers are removed. Cloud services can remain in place however, and there are a number of services we can provide which can continue to run once the migration project is complete. These services would be based around Validation, Integration and Automation, with some examples shown below.

Content Governance

  • Intelligent AI driven scanning of data to check for policy violations covering:
  • GDPR rules
  • W3C /AAA compliance rules
  • Glasswall CDR
  • Taxonomy & classification

Content Quality

  • Ongoing review of content within SharePoint (or other CMS)
  • Identification of content which is still owned by users no longer with the organisation
  • Identification of duplicate files/folders
  • Dynamic reports highlighting redundant content, items not accessed in a certain number of years etc.
  • Recommendations for archiving of historical versions, orphaned content etc.
  • Reports on new content creation, most read articles, top contributors etc.

Automation and Integration

  • Integration with other business applications (Salesforce, Hubspot, Zoho, MS Dynamics etc.) for automated data submission based on customisation of criteria
  • Automatic processing, formatting and submission of data with Azure Cognitive Services (or other AI services)
  • Integration with MS Power Automate to create, manage or interact with workflows
